PowerPoint Presenter View: Check Where the Notes Appear

If you need speaker notes while the audience sees only slides, check PowerPoint’s display arrangement before buying a laser pointer or presentation remote. A slide button or timer does not establish where those notes will appear.

Start with PowerPoint and the two displays

Microsoft’s Presenter View guide describes notes on the presenter’s computer and slides on the audience’s screen. Its Windows desktop instructions let you exchange those views through Display Settings → Swap Presenter View and Slide Show when they are on the wrong screens.

Microsoft’s multiple-monitor guide says this split arrangement requires a connected second screen and a computer that supports multiple monitors. A remote cannot supply a missing audience display.

You can also open Presenter View on one monitor in PowerPoint. That lets you inspect its controls, but does not by itself create a separate private-notes display and audience screen. Follow the instructions for your PowerPoint version and platform; the Windows menu above is not a universal app path.

Check the arrangement before selecting a remote

  1. Check the audience’s display. Confirm it shows the slides you intend, while your own view contains the notes you need. Use the actual presentation rather than only the display settings.
  2. Check navigation separately. Move forward and backward with the available controls. If you can try the proposed remote, repeat those actions with its buttons in the actual slide show. Otherwise, request exact-model support for your computer and PowerPoint setup; working keyboard navigation leaves the remote untested.
  3. Identify where you need notes. If you expect to read them on a handheld device, ask for explicit documentation of that feature. A small countdown display does not establish a speaker-notes display.
